Department Head of Spatial Planning and Construction: That seems manageable, but how do we keep track of progress and ensure everyone is on the same page?

Dejan: Daily Stand-Ups are crucial here. Each day, your team members will meet for a short meeting to discuss what they accomplished yesterday, what they plan to do today, and any obstacles they’re facing. This keeps everyone aligned and aware of progress and challenges.

Mayor: Dejan, this all sounds very promising. But how do we make sure we’re staying on the right track and adapting as needed? Citizen feedback is crucial to me. We also have many urgent things we need to do. How can Scrum help us address those while still following this process?

Dejan: Excellent point, Mayor. Scrum is designed to be adaptable and handle urgent situations. Here’s how it works:

  • Prioritization: When we create the backlog, we’ll prioritize tasks based on factors like citizen needs, legal requirements, and urgency. This ensures the most critical issues get addressed first.
  • Sprint Flexibility: Scrum works in short cycles called sprints. If something urgent arises during a sprint, we can re-evaluate the remaining tasks and potentially adjust the sprint backlog to accommodate the urgent need. However, it’s important to remember that constant adjustments can disrupt the overall flow.

With Scrum, we would prioritize these tasks. Perhaps processing payroll efficiently and accurately is the most critical function, ensuring city employees are paid on time and correctly.

Using Scrum, we’d focus all our resources on streamlining the payroll process first, completing it within a short sprint (let’s say two weeks). This ensures a smooth and efficient core function.

Once the payroll sprint is complete, the team can then move on to the next most impactful project, like the software update, with improved focus and freed-up resources from the successful payroll project.

This approach helps us avoid spreading ourselves too thin and ensures we’re tackling the most critical tasks first, leading to better overall financial management.
